Ground Control (Office) Coordinator

As part of the Employee Experience, the Global Ground Control Team is focused on creating meaningful experiences for the people at Airbnb through celebration & appreciation, communication & education, and space & food. The Ground Control coordinator will be responsible for overseeing all efforts related to culture and climate; including general office operations, to bolster a welcoming, positive, supportive, creative, clean, and inspiring work home for all.


The Ground Control coordinator is the ultimate host. They anticipate needs, have a pulse on the feeling of the office, and are able to take action on creating something that will improve morale, increase productivity or celebrate an accomplishment. This person is flexible, empowered, and can make magic happen at the drop of a hat. This person consistently inspires the team to do the same.


Tasks & Responsibilities


General & Administrative:

  • In charge of office management and admin support
  • Owns invoice processes, expense processes, accounting requests, finance and payroll processes
  • Local point of contact for HR and Recruiting, including collecting HR related documents, following the PTO balance, and coordinatingcandidates coming into the office
  • Manages the office calendar  
  • Act as point of contact for any IT needs
  • Create and implement unique programs that surprise, delight and inspire the team (theme days, community service/events, engagement, etc)
  • Oversee the office food program
  • Be the driving force behind team events, office decor, food and all facets of employee experience
  • Manage and coordinate organization and execution of employee events (set-up, vendors, materials, etc)
  • Be a host and a central resource for both office guests and employees alike.
  • Work closely with the global Employee Experience team to define and implement culture programs
  • Work with HR to onboard new employees into the Airbnb culture 



  • Maintain a space that is inspiring, productive, welcoming and uniquely Airbnb
  • Maintain organizational systems to reduce clutter in the office
  • Ensure that meeting spaces are equipped and usable throughout the day
  • Be responsive to employee requests from office supplies to facilities
  • Assembling/set-up furniture upon delivery
  • Configure and re-configure desks and meeting spaces as needed to foster productivity
  • Understand basic A/V systems and be available to work with IT to help users
  • Prepare and set-up for departmental off-sites


 Internal Communication

  • Make sure the local office is connected and aligned with our San Francisco office and all global teams
  • Coordinate office team meetings
  • Make sure communication is aligned with our internal brand  
  • Make sure that office activities and communications are in line with our Core Values

  • University diploma or equivalent experience
  • Fluency in English and native level fluency in German
  • Working experience in dynamic and innovative environments is a plus. If you have operational experience in basic accounting things get even better!
